User and administrator guide
This guide describes working in the Parsewise dashboard and in the embeddable chat widget. The rightsholder is individual entrepreneur Ruslan Khuvazhievich Krylov. The interface is available in Russian and English; the names of sections, fields and buttons are given in English.
The workspace that holds the knowledge base, the assistant settings, chats and the team is called a project in this guide.
The user guide is sections 1–3, 5 and 9. The administrator guide is all sections.
1. Dashboard structure
On the left is the project menu. What the menu contains depends on the participant's role.
| Menu group | Items | Available to |
|---|---|---|
| Overview | Home | everyone except guests |
| Knowledge base | Products, Profiles, Files | everyone except guests |
| Assistant | Persona, Skills, Connectors, Widget | owner, administrator and editor |
| Assistant | Chats | all roles; a guest lands in chats straight away, without the menu |
| Settings | Team, API tokens, Billing, General | owner and administrator |
| Recent chats | the project's latest chats | all roles |
| Quick actions | New chat, Search, Help center | all roles |
Above the menu is the project switcher, at the bottom is the account menu.
2. Roles
| Role | What is available |
|---|---|
| Owner | everything available to an administrator, and transferring project ownership to another participant |
| Administrator | all menu sections, managing the team, API tokens, billing and the project's general settings |
| Editor | home, knowledge base, chats, "Persona", "Skills", "Connectors" and "Widget"; creating, importing and changing products, profiles and files, setting up the assistant and the widget, installing and changing skills |
| Viewer | home, knowledge base and chats; the knowledge base can be viewed but not changed |
| Guest | only their own chats: talking to the assistant, rating answers, a new chat |
A guest is an external user invited by email or with a guest link. A guest sees only the chats they created.
3. Sign-in and account
Sign-in
The "Sign in" page has the "Email" and "Password" fields, the "Remember me" checkbox and the "Forgot password?" link. Below the form, in the "Or continue with" block, are the buttons for signing in with Yandex ID, VK ID and "Corporate sign-in (SSO)". Corporate sign-in works if SSO is configured for the user's organisation; otherwise the software reports that SSO sign-in is not configured for this domain.
Registration
- Open the "Sign up" page with the "Sign up" link on the sign-in page.
- Fill in the "Email", "First name", "Last name", "Password" and "Confirm password" fields. The password must have at least 8 characters, an upper-case and a lower-case Latin letter and a digit.
- If you wish, tick "Receive emails about product updates".
- Tick the consent "I accept the Terms of use and the Privacy policy". The terms of use are published at https://parsewise.ru/policy/offer, the privacy policy at https://parsewise.ru/policy/privacy.
- Press "Sign up".
- Enter the six-digit code from the email and press "Confirm". If the email has not arrived, press "Resend code".
Password recovery
- On the sign-in page press "Forgot password?".
- Enter your email address and press "Send link".
- Follow the link in the email and set a new password.
Account menu
The menu has the items "My account", "Switch account", "Add account", "Privacy policy", "Leave feedback" and "Sign out". One browser can hold several accounts and switch between them without entering the password again; unneeded accounts are removed in the "Manage accounts" window.
Account settings
| Block | What can be done |
|---|---|
| Profile | change the first and last name, upload a profile photo or choose a standard avatar |
| Change email | enter a new address and confirm the change with a code from an email |
| Change password | enter the current and the new password |
| Linked accounts | link or unlink Yandex ID and VK ID |
| Interface settings | choose the appearance — system, light or dark — and the interface language |
| Delete account | delete the account permanently, confirming with the word delete |
4. Project
Creating a project
- In the project switcher choose "New project…".
- Enter the "Project name" and "Project description". The description helps the assistant understand the context of the conversation.
- Press "Create project".
Home
The "Home" section opens the project overview. In the header are the "Settings", "Invite links" and "Invite member" buttons; the last two are available to the owner and the administrator.
The "Analytics" block shows figures for the chosen period: "Chats created", "Avg. messages per chat", "Avg. session time", "Average rating", "Products suggested", "Profiles suggested", "Document views", "Skills suggested", "Connector runs". Below are the lists "Recent chats", "Recent threads", "Recent products", "Latest profiles" and "Latest files".
General settings
The "Settings → General" section is available to the owner and the administrator.
| Block | Parameters |
|---|---|
| Basic information | project name and description, logo |
| Colours | main colour, text colour |
| Project address | the project address: lower-case Latin letters, digits and hyphens, from 3 to 32 characters |
| Corporate sign-in (SSO) | "Enable SSO", "Issuer (IdP address)", "Client ID (dashboard audience)", "Client Secret" with the "Generate" and "Regenerate" buttons |
| Security | "Allow users to upload files", "Highlight files", "Auto-stop when an operator is requested", "Token limit per user per day", "Developer mode" |
| Questions | "Question collection period": day, week, month, quarter, half-year or year |
The "Delete project" button in the section header deletes the project with all its data and is available only to the project owner. To confirm, enter the project name.
Own domains
The "Own domains" block in the "Settings → General" section is available to the owner and the administrator. It lets the project page open on the organisation's own domain.
- Press "Add domain", enter the domain and, if needed, a comment, then press "Save".
- Press "Check" in the domain row. The "Connecting a domain" window opens with the DNS records; a record's value is copied by clicking its row.
- Add the records at the domain registrar: TXT — to confirm ownership, A — for a root domain or CNAME — for a subdomain.
- Press "Check" in the window. If the records are found, the software reports that the domain is confirmed and the connection is being set up, after which the connection and the SSL certificate are configured automatically. If the records are not found, the software reports that the DNS records are missing or point elsewhere.
When the name of a saved domain is changed, the ownership confirmation and the connection are reset and the domain has to be checked again. The "Delete" button in the domain row unlinks it from the project after confirmation in the "Delete domain" window. A domain linked to another project cannot be added.
5. Chats
The "Assistant → Chats" section is for talking to the assistant and analysing requests. In the header are the "Threads", "Topics" and "Questions" buttons, which scroll the page to the corresponding block, and the "New chat" button. A guest sees only the "New chat" button and their own chats.
A chat is the whole conversation with the assistant; the software splits a chat into threads — stretches of the conversation about one user question, which the "Questions" block calls branches.
Dialogue
- Press "New chat" or open a chat from the list.
- Type a message in the "Type a message..." field and press "Send". Files can be attached to a message: no more than 10 files, up to 5 at a time, each up to 10 MB.
- The assistant answers with text, product and profile cards, skill cards and, if "Highlight files" is on in the project settings, knowledge base files with the highlighted passage it relied on. Clicking a file opens the "File details" window with the "Download", "Open" and "Answer from document" buttons. The last one adds a mention of the document to the input field: send the message as it is for the assistant to answer the previous question from this document only, or add a new question next to it. The link that opens the file is valid for no more than an hour.
- Rate the answer with the "Bad", "Average" or "Good" buttons.
- To rate the whole chat, press "Rate" and give from one to five stars with a comment.
A team member can take a dialogue over: the "Stop agent" button turns off the assistant's answers in this chat, after which the team continues the conversation by hand. The "Start agent" button brings automatic answers back. If "Auto-stop when an operator is requested" is on in the general settings, the assistant stops by itself when the user asks for an operator.
Analytics
The blocks are arranged on the page from top to bottom.
| Block | Content |
|---|---|
| Analytics | "Total chats", "Avg. messages per chat", "Avg. session time", "Average rating" |
| Chat list | the project's chats; "Selection mode" for deleting several chats |
| Threads | finished questions: "Total threads", "Avg. messages per thread", "Average rating", "Resolved"; the "All topics" and "All authors" filters, sorting, the "Export CSV" button |
| Topics | "Total topics", "New topics", "Active topics", "Top topic"; the tree of request topics with nested subtopics, built automatically; "Search topics", period, sorting; choosing a topic filters the threads |
| Questions | "Active questions", "Branches in top", "Branches per question", "Average rating"; groups of typical questions with frequency and rating, "Search questions", sorting |
The list of questions is rebuilt once a day. The collection period is set in the "General" section, "Questions" block.
6. Knowledge base
Files
- Press "Upload files" or drag files into the section window.
- If a file with the same name already exists, the software shows the "Duplicate files found" window: "Upload" keeps a copy, "Replace" replaces the existing file.
The dashboard accepts files up to 50 MB: PDF, DOC, DOCX, XLS, XLSX, PPT, PPTX, TXT, CSV, JSON, XML, MD, RTF, ODT, ODS, ODP, HTML documents, as well as images, video, audio and archives. Text for the assistant's answers is extracted from the formats listed in "Functional characteristics", section 3.3; other files are stored without indexing.
The "Upload by link" button opens the "Documents by link" window. The source can be a "Cloud folder (S3)", a "Folder on a website", a "List of links" or a "Website". The software downloads the content and refreshes it once a day and with the "Refresh" button; a download can be interrupted with the "Stop" button. The state of a source is shown with the statuses "Done", "Stopped", "Error" or "Not synchronised yet". When a source is deleted, the software asks whether to keep the downloaded files or delete them.
Products
Creating by hand. The "Create product" button opens a form:
| Block | Fields |
|---|---|
| Product media | images and video, no more than 10 files per product |
| Basic information | "Product name", "Description", "Price", "Sale price", "Article / SKU", "Brand" |
| Links | addresses of product pages and the "Button text" for each link |
| Product attributes | characteristics: size, colour, material and others |
| Hide from answers | the assistant will not suggest the product |
Import from a file. The "Import from file" button accepts CSV, XLSX, XLS, JSON, XML, YML and YAML files. If the project already has products, the software offers to upload them again or replace the existing ones.
Feed by link. The "Upload by link" button opens the "Product feeds" window. One or more links to a feed in YML, XML, CSV, XLSX or JSON format can be added. The feed is synchronised once a day and with the button; products are matched by SKU.
Product card. The "Product analytics" block shows "Suggested", "Cards opened", "CTA clicks" and "Conversion" for the chosen period. The "Delete product" button deletes the product.
Profiles
The "Profiles" section holds the catalogue of people the assistant recommends: specialists, employees, consultants.
- "Create profile" — creating a profile by hand.
- "Import from file" — uploading CSV, XLSX, XLS, JSON, XML, YML and YAML files; the mapping of columns to profile fields is detected automatically.
- "Upload by link" — the "Profile feeds" window; the feed is synchronised once a day and with the button, profiles are matched by external code — a personnel number, an employee identifier or a code from the CRM.
7. Assistant
Persona
The "Persona" section is available to the owner, the administrator and the editor. The "Assistant settings" block has the fields "Assistant name" — the name shown in the widget chat — and "Answer rules (optional)", where the tone, style and limits of answers are set in free text. The "Assistant avatar" can be uploaded or chosen among the standard avatars in the "Photos" and "Illustrations" groups.
Skills
The "Skills" section is available to the owner, the administrator and the editor; deleting a skill, publishing, sending for review and unpublishing — only to the owner and the administrator. A skill is an assistant ability with its own interface in the answer feed: an interactive card, a form, a calculator, a schedule.
- Install a skill from the catalogue with the "Marketplace" button or upload a file with the "Upload .skill" button.
- When uploading a third-party file, confirm trust in the "Trust this skill?" window with the "Trust and install" button.
- If a skill with the same name already exists, choose "Update" or "Create copy".
The "Skill creator" button opens materials for developing your own skills. Several skills can be switched off or deleted through "Selection mode".
A skill card has the blocks "General", "Card", "Drawer", "Resources", "Submissions", "Connectors" and "Logs". The "Submissions" block collects the data of the skill's forms, which can be exported with the "Download CSV" button; the call log is exported with the "Download .log" button. Actions with a skill:
| Button | Action |
|---|---|
| Activate / Deactivate | switch the skill on or off in the chat |
| Fork | create a copy of an installed skill in the project to rework it |
| Publish / Send for review | send the skill or changes for review for publishing in the marketplace |
| Unpublish | hide the skill from the marketplace catalogue |
| Remove from project | remove a skill installed from the marketplace from the project |
| Delete | delete the skill permanently |
Connectors
The "Connectors" section is available to the owner, the administrator and the editor; deleting a connector — only to the owner and the administrator. A connector is a package without an interface that gives the assistant access to tools of external systems.
- Install a connector with the "Marketplace" button or upload a file with the "Upload .skill" button.
- When uploading a third-party file, confirm trust with the "Trust and install" button.
- In the card open the "Connectors" block and press "Configure" to set the authorisation secrets.
- Check the server's tools with the "Test" button.
Widget
The "Widget" section is available to the owner, the administrator and the editor. The "Analytics" block shows "Widget impressions", "Widget opens", "Chats created" and "Conversion".
| Block | Parameters |
|---|---|
| Widget settings | "Button text"; the widget interface "Language", while the assistant answers in the language of the question; "Button width"; "Position" — "Bottom left", "Bottom centre", "Bottom right"; "Theme"; "Transparency"; "Show widget after scrolling" and "Scroll threshold" |
| Access and authorisation | "Who can write in the chat" — "All visitors" or "Signed-in only"; "User authorisation method" — "Shared secret (HS256)" with the "Signing secret" field or "Corporate SSO (Keycloak/ADFS)" with the "Issuer (IdP address)" and "Client ID (widget audience)" fields; "Auto-enrol employees into the team" |
| Trusted domains | domains on which the widget may be connected; an empty field means no restrictions |
With "Auto-enrol employees into the team" on, signed-in widget users become project participants and take plan seats; with it off, they are billed as threads.
Installing the widget on a website. The "Installation" button in the section header goes to the instructions. The "Choose a platform" list offers HTML/CSS, Tilda, 1C-Bitrix, InSales, OpenCart, Shop-Script, CS-Cart, uniSiter, Smink, WordPress, Next.js, React and Angular; step-by-step actions are shown for each platform. For an HTML website:
- Copy the installation code by clicking the code field.
- Open the website's HTML file, for example index.html or the main template.
- Paste the code before the closing
</head>tag. - Save the file and open the website: the widget button appears at the bottom of the page.
8. Team, API tokens, billing
Team
The "Team" section is available to the owner and the administrator.
- Press "Invite member", enter the "Email address" and the "Role" — administrator, editor, viewer or guest — and press "Send invitation".
- To invite several people, press "Invite links" and create a link with the "For administrators", "For editors", "For viewers" or "For guests" button. Active links can be copied or deleted.
In a participant's window the role can be changed in the "Change role" field and saved, the participant can be removed with the "Remove member" button, and an unconfirmed invitation can be withdrawn with "Cancel invitation". The owner can press "Make owner" and confirm "Transfer ownership" by entering the word transfer; after the transfer the former owner becomes an administrator.
API tokens
The "API tokens" section is available to the owner and the administrator.
- Press "Create token".
- Enter the "Token name" and the "Role": "Viewer" — access to the chat and search API, "Editor" — in addition, creating, changing and deleting products. The "Administrator" role is marked as unavailable.
- Copy the token straight away: it is shown only once.
The token list shows the creation date and "Last used". Unneeded tokens are deleted through "Selection mode".
Billing
The "Billing" section is available to the owner and the administrator and is titled "Billing and usage".
| Block | Content |
|---|---|
| Usage limits | token consumption, team, products, profiles, storage, skills, connectors |
| Organisation contract | shown if the project is attached to an organisation contract: "Organisation seats", "Organisation questions this month", "This project's share"; the terms are changed through a manager |
| Plans | cards of the "Team" and "Threads" products from the plan catalogue and the "Monthly" / "Yearly" billing period switch |
Team is a per-seat plan: a seat is taken by any project participant, including guests. Threads is a plan for resolved questions: a thread is a finished branch of a dialogue with the assistant's answer. A product card shows usage, cost, the current plan, the unit price, the paid volume and usage above the package.
Payment procedure:
- Press "Pay for Team" or "Pay for Threads".
- Enter the number of seats or threads per month — no fewer than the minimum — and check the "Amount due".
- Read the terms of the public offer at https://parsewise.ru/policy/offer and press "Proceed to payment".
Usage above the paid volume is paid as used at the end of the period. Seats added to the yearly pool of the "Team" plan are paid at the monthly seat price for each month left until the end of the yearly term. A "Team" subscription can be cancelled with the "Cancel subscription" button.
For a paid product a spending safeguard is set with the "Change" link: "Seat limit" — above it no participant can be invited; "Thread limit per month" — when it is reached, the assistant stops opening new threads until the end of the month. If no limit has been set, the defaults apply: 200 seats and 10,000 threads per month. The seat limit cannot be lower than the minimum package, the thread limit cannot be lower than the paid volume; a cleared field removes the limit.
9. Widget on a website
A website visitor opens the chat with the widget button and writes a message in the "Write a message..." field. The assistant answers with text, product and profile cards, interactive skill cards and links to knowledge base documents. Every answer can be rated.
The search and actions window offers recent chats, a search through them and the actions "New chat", "Download history" and "Help". Below the input field is a link to the privacy policy https://parsewise.ru/policy/privacy.
If the "Signed-in only" mode is chosen in the "Widget" section, a visitor who is not signed in to the website sees a message that the chat is available only to signed-in users.
Test it on your own data
Upload your own documents and catalogue — then ask the assistant the questions people ask you. That is the only test that means anything.
